Child Safeguarding Policy

Enchatted PC · Version 1.0, 24 October 2026

1. Policy

This policy is structured on the four areas of the Keeping Children Safe International Child Safeguarding Standards: Policy, People, Procedures and Accountability.

Enchatted designs and develops educational software, including digital games used by children. Enchatted does not tolerate any form of abuse, exploitation, neglect or harm to children, online or offline.

This policy applies to all Enchatted staff, contractors and anyone acting on its behalf in any activity that involves children under 18, including co-design sessions, pilots, user testing and the operation of digital products used by children. It follows the UN Convention on the Rights of the Child, the EU General Data Protection Regulation and Greek law. The best interests of the child come first in every decision.

2. People

(a) Enchatted appoints a Child Safeguarding Focal Point: Kostas Manousaridis, [email protected]. The Focal Point receives concerns, keeps this policy up to date and briefs staff;
(b) every person covered by this policy reads and signs this policy and the Code of Conduct below before working on any child-related activity;
(c) staff who will be in direct contact with children provide a recent criminal record certificate before the activity;
(d) staff receive a short safeguarding briefing at the start of each project involving children, including how to report a concern.

Code of Conduct
Staff must:
(a) never be alone with a child out of sight of another adult;
(b) never contact a child privately, online or offline, outside the project activity;
(c) never photograph, record or collect personal data from a child without the documented consent of a parent or guardian and the child’s own agreement;
(d) use age-appropriate language and content;
(e) treat all children equally regardless of origin, disability, gender or background.

3. Procedures

Safe design of digital products for children
(a) Data minimisation: no collection of children’s names, contact details, photos, location or other personal identifiers unless strictly needed and lawfully consented;
(b) no open chat or messaging between users, no advertising, no in-app purchases and no external links that leave the safe environment;
(c) hosting in the EU; access to any data restricted to named staff;
(d) content about disasters is age-appropriate and avoids distressing images. It is developed with child protection and education experts and focuses on what a child can do to stay safe and where to find a trusted adult;
(e) accessibility for children with disabilities and use of plain language.

Activities with children (co-design, testing, pilots)
(a) Run only together with a partner organisation responsible for the children (school, municipality, NGO), with at least two adults present;
(b) written informed consent from a parent or guardian, and the child’s own agreement in age-appropriate form. Children can stop at any time.

Reporting and response
(a) Anyone with a concern about a child’s safety reports it to the Focal Point the same day, and to the project coordinator;
(b) if a child is in immediate danger, call 112 or the police (100) at once;
(c) the Focal Point records the concern confidentially, informs the relevant child protection partner and, where required, the competent authorities, without investigating the case personally;
(d) reports are taken seriously and handled confidentially, without retaliation against the person reporting.

4. Accountability

(a) The policy is reviewed every year and after any incident, and at the start of each new project involving children;
(b) the Focal Point keeps a confidential log of concerns and actions taken;
(c) the policy is shared with project partners and made available on request;
(d) breaches of this policy lead to disciplinary or contractual measures, including removal from the project.
